Handling of Personal Information

Based on its privacy policy, the Official Gazette Co-Operation of Japan (hereinafter "Cooperative") will not use personal information received via orders, via feedback, or via E-mail magazine subscriptions for any purposes except for those of the business at hand.

Giving first priority to customer trust, the Cooperative uses customers' personal information for the purposes stated below and makes every effort to maintain the accuracy and confidentiality of such information. Please understand the following policies before submitting any personal information.

Purposes of Information Collection and Use

The Cooperative collects the minimum amount of customer information to carry out transactions with customers securely and soundly, and so that customers can be provided with the most suitable products and services. Such personal information and records are used for the following purposes:

  • For confirming the identity of a customer
  • For estimates and applications of books, official gazettes, online products, and related services
  • For payments and provision of related services
  • For confirming conditions of purchase, agreement terms, and records thereof
  • For creating statistical data
  • For the implementation of various surveys
  • For introducing books, official gazettes, online products, and related services offered by the Cooperative or official gazette sales offices to customers

Types of Information to be Collected

The most common types of information to be collected are the customer's name, address, telephone number, E-mail address, and other contact information. In addition, the following types of information are collected when agreements for online products are executed, during payments, and when providing various services.

Customer Information

In addition to the basic types of information listed above, personal attribute information of concerned parties, information regarding relevant products, information related to the current agreement, and other such information is collected.

Agreement Information

Records and information regarding agreement terms and any modification and/or renewals thereof are collected. This also includes bank account information for payments, credit card information, etc.

Trouble-Related Information

In addition to detailed information relating to shipping problems and other types of trouble, information necessary for providing services and similar types of data are collected.

Personal Records

Personal records are records of estimate terms that were requested by customers in the past, records of any modifications made to agreements, and records of all communications between the Cooperative and its customers. In addition to communications by telephone or in writing, personal records include usage history of the Cooperative's website (for details, please refer to "Method of Information Collection").

Method of Information Collection

After taking sufficient safety measures, information entered by customers themselves over the Internet, and information provided by customers by telephone, in writing, or through other means of communication, are collected. Furthermore, please understand that information inquiries are made when customers have made purchases in the past or applied for an online service. In addition, there are times when customer computing environment data and the usage history of the Cooperative's website are collected by the use of cookies and the like.

Cookies

The website of the Cooperative uses cookies for its ordering system. Furthermore, there are also times when cookies are used for collecting website usage data, and creating statistical data. A cookie is a technology that sends and stores a small amount of information to and in a customer's computer. This allows the Cooperative to collect customer order records and page view records. Such information is mainly used for creating statistical data that does not specify the customer. Also, there is no need to worry about the use of cookies since a cookie itself does not include any personal information that is capable of identifying the customer.

SSL (Secure Sockets Layer)

The website of the Cooperative uses 128 bit SSL encryption for safely transmitting and receiving customers' important personal information.

Provision of Information

Neither the Cooperative nor any official gazette office will provide customer information to third parties, except in the following cases:

  • When customers agree to such provision of information to third parties
  • When deemed necessary for legal reasons
  • When thought to be necessary for customers and the public interest
  • When providing information to the partners of the Cooperative

Information Management Method

Appropriate measures are constantly taken so that customer information can be kept accurate and up-to-date. In addition, appropriate measures are taken to prevent unauthorized access of customer information and other similar acts. Also, the Cooperative requires strict supervision of partners in order to prevent the use of the information for any other purpose than originally intended.

Customer Request for Disclosure, Correction, or Discontinuation

Unless there is a particular reason, customer requests for disclosure of their own information are approved after it is confirmed that the applicant is the person concerned. In addition, inaccurate customer information will be corrected by the Cooperative. Please contact us in order to correct any inaccurate personal information (see "Inquiries" below).

If you no longer wish to receive information from the Cooperative by E-mail, conventional mail, telephone, or other means, or no longer want your information shared among partners, including the Cooperative and official gazette offices, please contact us (see "Inquiries" below). After the request is made, you will no longer receive such information, except when the Cooperative is required to provide information regarding agreements and other important matters.
